Withdrawals

Complete Withdrawal of Items from a Holding
Search the item by barcode.  If barcode is missing, search by call number, title, author, etc.  Verify piece in hand matches bib record.

Holding
  • Add STA SUPPRESSED
  • Add 852 subfield "x" with withdrawal note (e.g., "wd 20141220 [initials] per selector)
  • Save record to server
Item
  • Set Item Process Status to WD
  • Add withdrawal note to the Internal Note field in General info tab 2
  • Update record on server

If last copy

  • Search Aleph by OCLC number to insure there are no additional copies at Smathers Libraries on a duplicate bib record. 
  • If withdrawing the last copy at Smathers Libraries, delete FUG holdings in OCLC. 


Partial Withdrawal of Items from a Holding
Search the item by barcode.  If barcode is missing, search by call number, title, author, etc.  Verify piece in hand matches bib record.

Holding
  • Add 852 subfield "x" with volumes withdrawn and withdrawal note (e.g., "wd 20141220 [initials] per selector)
  • Save record to server
Item
  • Set Item Process Status to WD
  • Add withdrawal note to the Internal Note field in General info tab 2
  • Update record on server

 

Mead Material
Follow the procedure above.  If withdrawing the last Mead copy, delete the 521 note field ("appr. for Mead") on the bib record, if present.

 

Physical Processing

  • Black out barcode in back of book
  • Stamp “withdrawn”

 

Running Stats for Withdrawals

  • Open the stats menu
  • Choose Other
  • Choose Collection Change
  • Choose either Complete Withdrawal or Partial Withdrawal as described above
  • Choose source of request
  • The macro will add the $x with the note.  If complete withdrawal, it will add STA $a SUPPRESSED
  • Confirm that you are withdrawing the item.
  • Indicate the number of items being withdrawn.
  • Let macro run.
