UF Libraries Metadata Unit Task Instructions: QC Checklist

This instruction is mainly for internal use and will be updated frequently as the work evolves.

Non-SPOHP Spreadsheet Batches

QC Check List --- Spreadsheet Batches

(For SPOHP batches, please check here)

  1. Are all Headers UFDC spreadsheet headers as listed in the Column B of Sobek Fields? Please note as listed in the Sobek Fields doc, some fields, highlighted in red are not available for ingestion due to technical issues.  

  2. Are the following UFDC fields added and populated with data: GENRE, GENRE AUTHORITY, MATERIAL TYPE, AGGREGATION CODE, RIGHTS, SOURCE INSTITUTION STATEMENT, HOLDING LOCATION STATEMENT, SOURCE INSTITUTION CODE, HOLDING LOCATION CODE

  3. Is MATERIAL TYPE populated with the right term and following the proper general rules

  4. Are GENRE and GENRE AUTHORITY from this controlled list? 

  5. Is MATERIAL TYPE " Newspaper", if so, have any forms of "newspaper" been removed from GENRE and GENRE AUTHORITY? 

  6. Is MATERIAL TYPE " Serial", if so, have any forms of "serial" been removed from GENRE and GENRE AUTHORITY? 

  7. Are all blank columns removed? 

  8. Is YEAR a text column? Do the dates follow YYYY-MM-DD pattern? 

  9. Are Aggregation Codes, could be multiple instances from the aggregation/institution list

  10. When creating new records for content contributed by the UF Special and Area Studies Collections, did we use "ufspec" and "UF Special Collections" as Source Code and Source Institution? 

  11. Is Institution Code from the aggregation/institution list with the "i" removed? Please note, this field only holds the codes form the linked list with "i" removed, not other aggregation codes, that are, the codes not starting with a lowercase i. 

  12. Does the CREATOR ROLE have values from this controlled list?

SPOHP Batches

The following list is only for QC purpose, to review SPOHP Batches, use the libguide dedicated to that process. 

QC Check List -- SPOHP Batches

  1. Click open the submitted raw metadata from SPOHP, link in the planner card description.  Have a quick comparison with the InReady sheet, make sure the data in InReady is the same batch as submitted by SPOHP. 

  2. Are all Headers UFDC spreadsheet headers from SPOHP Metadata Guideline

  3. Have the following fields been removed from the "InReady" tab: 

    SPOHP ID 

    Project Code 

    Folder to UFDC 

    BIBID 

  4. MEASUREMENTS, have "duration" (all in lower case) and ": ", followed by the converted the data. 

  5. MATERIAL TYPE: Usually "Audio" for FORMAT: MP3 or "Video" for FORMAT: MP4

  6. GENRE and GENRE AUTHORITY: "Oral histories" and "fast"

  7. "YEAR" field type: text, usually YYYY-MM-DD 

  8. SUBJECT KEYWORDS 1: match the ones on "Project Names" tab? if not, add them and check with SPOHP to confirm the official name and codes 

  9. SUBJECT KEYWORDS 1: does the "Project Names" match the SPOHP ID? There could be cases, in one batch, most interviews belong to one project and then the rest, one or two interviews belong to another project. 

  10. SUBJECT KEYWORDS: are they from the Subject List maintained by the Unit? 

  11. "Aggregation Code 2", check "Subject Keyword 1" to see if to add Aggregation Code 2. 

  12. "Aggregation Codes 1": "ORAL"

  13. MEASUREMENTS, have "duration" and then the converted the data. 

  14. Are all blank columns removed? 

  15. Unwanted or useless, meaningless punctuations, like the dot/periods, at the end of the field? Delete

After QC, follow the instruction on the SPOHP After QC to finish the work.

Serials UFDC Batch Updates

QC Check List -- UFDC Serials Updates

This checklist is for QC the batch update for Serials in UFDC. 

  1. Read the update request info provided in the planner Description and Comments that usually include the ER OCLC number of the UFDC records, BIBID, fields that need to be updated; 
  2. Use the ER OCLC number to pull out the UFDC records in the original UFDC: 
    • If no record is found, check again to see if a wrong OCLC number has been used; if not, this means, the OCLC number in UFDC has not been updated to the right ER OCLC number, one issue noted. Use the BIBID usually comes with the planner card name to pull out the records and proceed to the next step. 
    • if the records are found, proceed to the next step. 
  3. Check the UFDC record Genre and Genre Authority
    • if any duplicate instances, most often multiple instances of "newspaper" or "serial"; 
      • if it does, inform the worker to only keep the ones where "sobekcm" as authority, for instance, "newspaper" (sobekcm) and "serial" (sobekcm). 
      • if it does not, proceed to the next step. 
  4. Check if requested changes have been conducted. If needed, pull out the ER OCLC records from OCLC connexion to check the details. Results can be reviewed in any records. It's a sample check. 
    • If all requested changes have been done, but in Step 2, the ER OCLC number was not found
      • Inform the worker to update ER OCLC number in the "Comments". 
      • Assign "Feedback Given" to the planner card. 
      • The worker will add or update ER OCLC number to UFDC and ask to check final results again for this task.
    • If some of requested changes have not been done
      • Inform the worker of the undone part in the "Comments".
      • Assign "Feedback Given" to the planner card. 
      • The worker will work more on this card and ask to check final results again for this task.
    • If all requested changes have been done, and the records were pulled out by the ER OCLC number
      • Inform the worker in the "Comments" that the task is done. 
      • Set the planner Progress status as "Complete" to close this task.

Biomeds

QC Check List -- Biomeds

  1. Check the Biomeds Template where the original data of the InReady sheet was prepared. This template can show what has been done for other batches. 
  2. Access the files at the shared drive link, sample check one or two articles, to see if all info has been copied from PDFs correctly
  3. If "BMC Publications by UF Faculty" has been added to the metadata for all rows
  4. If "NONE" has been used for the columns that won't be ingested. As shown in the Biomeds Template, the first five columns won't be ingested.
