UF Libraries Metadata Unit Task Instructions: OCLC Connexion Setup

This instruction is mainly for internal use and will be updated frequently as the work evolves.

Step 1: Login to OCLC Connexion

Login Instructions
  1. Open OCLC Connexion
  2. In the top menu, click: File > Logon...
  3. In the box that appears, click the "Setup Authorizations" button.
Login Credentials
  • General account: 
    • Name: FUG  
    • Authorization #: 100267804 
    • Password: FUG 
  • Advanced access: 
    • Name: CONSER 
    • Authorization #: 100224385 
    • Password: libcon 
  • Advanced access: 
    • Name: BIBCO 
    • Authorization #: 100165110 
    • Password: NATBIBCO 

Step 2: Set up OCLC Connexion Parameters

Set up OCLC Connexion Parameters
  1. In the top menu, click: Tools > Options
  2. In the Options dialog box, click: General tab >​ Offline Cataloging Options button.

  1. In the Offline Cataloging Options, select the following:
    • Classification Scheme:  Library of Congress​
    • Holding Library Code:  FUGG
    • Institution Symbol:  FUG
    • MARC Organization Code:  FU
  2. Click OK
  1. Next, click the RDA tab

  1. Check all boxes (see screenshot above)
  2. Click OK

Step 3: Set Up Text Strings and Macros

Text Strings
  1. To set up text strings, click: Tools > Text Strings > Add
  2. In the box that appears, fill out "Description" and "Text" for each text string according to the following table:

**Optional** Assign text strings to user tools for quick access from toolbar (circled below): 

  1. Click: Tools > Text Strings > User Tools
  2. In the User Tools box, select "Text" under  Display Commands for Category
  3. Highlight field in the Text column and then select Tools from dropdown menu

 

Macros

To create a macro, click: Tools > Macros > Manage > New Macro > Box appears for macro description

Step 4: Set Up Export from OCLC to Alma Institution Zone (IZ)

Export OCLC Record to Alma Institution Zone (IZ)

To export OCLC records to Alma Institution Zone, you must first set up the export destination. To do this:

  1. Click: Tools > Options > Export > Create​
  2. Choose OCLC Gateway Export
  3. Click OK

  1. In the OCLC Gateway Export box, fill in:
    • [Host Name] ufl-flvc.alma.exlibrisgroup.com ​
    • [Port] 5500​
  2. Check Send Local System Logon ID and Password​
    • Logon ID = 01FALSC_UFL​
    • Password = 01FALSC_UFL_oclcx​
  3. Click OK when you are done entering the data​
  4. Click OK again, then Close 

Next, change the character set of exported records​. To do this:

  1. Click: Tools > Options > Export​
  2. Click on the "Record Characteristics" button​

In the "Record Characteristics" box, do the following:

  1. Change the character set to UTF-8 Unicode for "Bibliographic Records" and "Authority Records"
  2. Click OK

  

Verify Record is in Alma
  1. Search for, edit, and export a record from Connexion as usual​

  2. In Alma, search in Institution Zone for records using MMS ID, title, OCLC, etc.

Step 5: Set Up Export from OCLC to Alma Network Zone (NZ)

Export OCLC Record to Alma Network Zone (NZ)

To export OCLC records to Alma Network Zone, you must first set up the export destination. To do this:

  1. Click: Tools > Options > Export > Create​
  2. Choose OCLC Gateway Export
  3. Click OK

  1. In the OCLC Gateway Export box, fill in:
    • [Host Name] flvc.alma.exlibrisgroup.com  ​
    • [Port] 5500​
  2. Check Send Local System Logon ID and Password​
    • Logon ID = 01FALSC_NETWORK​
    • Password = FLVC_NETWORK_oclcx​
  3. Click OK when you are done entering the data​
  4. Click OK again, then Close 

 

In the "Record Characteristics" box, do the following:

  1. Change the character set to UTF-8 Unicode for "Bibliographic Records" and "Authority Records"
  2. Click OK

  

Verify Record is in Alma
  1. Search for, edit, and export a record from Connexion as usual​

  2. In Alma, search in Network Zone for records using MMS ID, title, OCLC, etc.
