UF Libraries Metadata Unit Task Instructions: Home

This instruction is mainly for internal use and will be updated frequently as the work evolves.

Overview

To add new content into the University of Florida Digital Collections (UFDC), the Metadata Unit handles two types of batches: MARC and non-MARC. MARC batches requires more steps. This is because MARC data needs to be converted to fit the UFDC spreadsheet template and as well, the Metadata Unit is responsible for the proper presentation and updates of MARC data in multiple environments that include: OCLC Connexion, Alma and Primo. 

Non-MARC batches use UFDC spreadsheet templates customized for individual project needs. To prepare non-MARC metadata for UFDC, please read more here

Steps for MARC batches

Templates and Steps for non-MARC batches

Quality Control (QC) for all batches

The Metadata Unit members collaborates each other to QC all batches. In the Planner, one member, the worker, finishes a batch, and assigns the batch to another member, the reviewer. The reviewer QCs the batch based on the checklists and leaves the feedback for the worker in the Planner.

UFDC Tasks

  • Adding new aggregations to UFDC: a process initiated by the Digital and then proceeded by the LTS, currently the turnaround time is multiple weeks. In lieu of the multiple issues regarding the aggregation codes, we cannot start any work for a new aggregation until the new aggregation is up on both the original and the new UFDC.
