ASERL Documents Disposition Database: Needs List Export

A short guide to using this tool

How it works

Any library that has created a Needs list in the ASERL Documents Disposition Database can export their own Needs lists in a csv file template for import into FDLP eXchange.

  • The export template is designed to match the FDLP eXchange Needs template (http://bit.ly/2uCOvWN) so that minimal editing will be required to import the file.
  • The various data elements used in each record (Title, Classification Type, Document Number, Format, etc.) are described in the FDLP eXchange Data Dictionary.  Please know that some of these elements are not used in the ASERL Disposition Database, and as such, the corresponding column in the csv template will be blank.
  • You have control over both the records that are chosen for export from the ASERL Documents Disposition Database and ultimately those you wish to import into FDLP eXchange. 

When you click the button named 'EXPORT NEEDS (for FDLP eXchange)' on the My Needs page, the following "pop-up" form will appear.   The form allows you to filter or exclude Needs records from your export file.

 

You can filter the export data by the Need ‘submission date’ (the date that the Need record was added to the Disposition database) by using a date range in the FROM and TO fields: 

  • If both the FROM date and the TO date are left blank, your export will include all records in the database, from your very first Need record to your most recent added Need.
  • If the FROM date is blank, and you have included a TO date, your export will include your very first Need record up to the TO date.
  • If you include a date in the FROM date and leave the TO date blank, your export will include records starting at the FROM date up to the most recent Need submission date.
  • If both the FROM date and the TO date include dates, your export will include all Need records submitted within that date range.
