Pan-American Authorities (PANA): Omeka S Data Import

Omeka S Data Import

This section aims to assist partners of the Pan-American Authorities (PANA) group in importing PANA terms into our Omeka S-powered website. This guide includes instructions on preparing your import data, navigating the Omeka S platform during the import process, and undoing an import if necessary. Prepare Import Data for Omeka S

 

  1. Use spreadsheet software capable of exporting data into CSV format (e.g., Excel, Google Sheets) to create and organize your data. 

  2. In your spreadsheet, label columns A-J as follows:

  • Column A: Title 

    • Spanish preferred term. 

    • This is a required field. 

  • Column B: Alternative Title 

    • English term. 

    • This is a required field. 

  • Column C: Type 

    • Type of term (Subject, Genre, Geographic, Name, Events / Wars, etc.). 

    • This is a required field. 

  • Column D: Relation 

    • Non-preferred terms, ensuring each individual term is separated by a comma.  

    • Note: If a non-preferred term contains a comma inside the term, remove all commas and keep a record of the terms where commas were removed for future correction after term import into Omeka. 

    • This is an optional field. 

  • Column E: References 

    • List resources used for selecting the preferred term only, with each entry formatted as a URL followed by the resource name.

    • The resource name should follow the standardized format from the list provided here: Omeka S References.xlsx.

    • Each resource should be separated by a comma (with no comma in between the URL and resource name).  

    • If a stable URL for the term is unavailable, list the URL to the resource itself.  

    • For locally translated terms, denote as "Local". 

    • This is a required field. 

  • Column F: Description 

    • Scope notes, which can offer additional guidance on the term's usage to either the indexer or the searcher.  

    • A scope note doesn't necessarily need to be a comprehensive definition but should clarify the intended use of the term within our resource. 

    • This is an optional field. 

  • Column G: shortDescription 

    • Editorial notes could provide clarification on the rationale for selecting a specific Spanish term, particularly if it diverges from a direct translation of the English term. 

    • This is an optional field. 

  • Column H: Contributor 

    • Name of your institution. 

    • This is a required field. 

  • Column I: Identifier 

    • URl of English term’s source (if available). 

    • This is an optional field. 

  • Column J: identifier 

    • PANA IDs that are generated from the "Omeka” tab of the finalized terms sheet, utilizing Excel's autofill feature. 

    • This is a required field. 

  1. Save the file as CSV UTF-8 (Comma delimited).

Part 2: Import Data (CSV) into Omeka S

 

After your import data spreadsheet (CSV) is ready, proceed to import your data into Omeka S by following the steps below:

  1. Navigate to https://digital.domains.uflib.ufl.edu/omeka/login and log in using your credentials. 

 

  1. On the left navigation pane in the Omeka dashboard, click "CSV Import". 

 

  1. Choose the Omeka Import spreadsheet you just created for "Spreadsheet (csv, tsv or ods)" field. 

    • Do not alter the default import settings. 

 

  1. Click “Next” 

  1. To map to Omeka S data, select wrench icon next to “Relation”. 

 

  1. Click the "Use multivalue separator" field and click "Apply changes".

 

  1. Click the wrench icon next to "References". 

  1. Click the "Use multivalue separator" box, choose "URI" from the "Data type" dropdown menu, and then click "Apply changes".

 

 

  1. Click the wrench icon next to "Identifier". 

 

  1. Click the "Data type" dropdown, select "URI" from the menu, and then click "Apply changes".

  1. Click the trash icon to remove the automatic mapping for the "identifier" field. Then, click the plus icon next to "identifier".

  1. Click the arrow next to "Properties".

 

  1. Type 'identifier' in the search box, select "identifier" linked to the "Bibliographic ontology" vocabulary, and then click "Apply changes".

 

  1. Navigate to the "Basic Settings" tab at the top of the page.

 

  1. Click on the "Resource template" dropdown menu and select "PANA".

  1. Click "Import".

Undo an Import in Omeka S

 

To undo a data import, go to "Past Imports" within the "CSV Imports" section in the left-hand navigation pane. 

 

 

Locate the import you wish to undo, ensuring it has your name and the correct date/time. Check the "Undo" box and click "Submit".
