Preservation Guidelines for Smathers Library and Special Collections Items

Barcodes

Barcodes should be placed on a white paper bookmark or the box of an item, never directly on a special collection item itself.  Barcodes on circulation collection items should be located on the back cover at the top close to the spine. Follow labelling guidelines for FLARE items.

It is typical for double-layered barcodes to be used through the intake process--with cataloguing placing the full barcode plus sticky layer on the inside of a book--and then sending this on to the next step in processing.  If possible, this should be avoided as this permanently places a tape layer somewhere on the book that will expedite the degradation process.   If this happens to a special collection item, contact cataloguing immediately to remedy the situation.

Spine/Call Number Labels

Call number labels should be placed in clearly visible locations on a paper bookmark and/or box.  

Spine labels should be from either two types of labels:  Duraready white matte labels or the Brodart Archival-Safe Foil-Backed spine labels.

Do not put any sort of spine label tape covering over a spine label on a paper bookmark.  This tape is made with particularly volatile plastics that will degrade items that are in contact with it.

Avoid Using Scotch book tape or other types of tape to cover book labels.

Other Labels

All other labels on book covers should be avoided, including location 'dot' stickers.  If other labeling needs to happen on circulating items, see the labeling section in the Preservation Guide for Circulating Branch Libraries.

Book plates requested by donors should be placed on the inside front cover using appropriate adhesive (contact conservation).  Old book plates, labels, etc. should be kept in place.

Special Collection items often come with seller's labels, receipts, etc.  The curator needs to determine if this information should be kept with the item or in another location.  If kept with the item, contact conservation for a pocket or sleeve that will protect the object from the potential acidity of the ephemera inside. 

Label Removal

Tape and label removal can damage a book if not done properly.  Contact conservation if it is necessary that an old label be removed and they will do this for the libraries. 

Avoid advertised adhesive removal products like Goo Gone as these damage items.
