Circulation items moved between library branches are usually requested through our cataloguing system. When this occurs, do the following:

Whenever Special Collection items are moved from one library building to another, contact the Collection Services Team for special transport of that item. They should bring with them the appropriate transport boxes, etc. and treat the transport more like a special courier than simple library circulation transfer.
Special Collection items needing digitization and/or repair need the following to happen before being sent out to ILF:
Avoid the same things you would avoid for circulation items (see below) and always remember that an item needs to be fully catalogued (or fully put in Archives Space if it is an archival item) before requesting digitization and conservation. The only exception is for mold and pest related issues.
Circulation Items needing repair need to have an Alma work order in place before sending the item to conservation. After the work order is requested, do the following:

Sometimes books and/or collection materials are in such disrepair that parts are falling off the book or the book itself cannot contain itself any longer. In this instance:

Libraries should not send damaged items to the conservation lab for repair first before sending the item to offsite storage. Only items requested from offsite for use and damaged, will be sent to conservation for repair prior to sending out the item for research.
When requesting items from ALF and/or ILF be sent to Smathers for research, contact the collection services and public services team(s) and follow the same safety protocols as noted above.
