UF Libraries Metadata Unit Task Instructions: OCLC to Alma

This instruction is mainly for internal use and will be updated frequently as the work evolves.

OCLC Permalink

--> Open OCLC record 

--> Add 856 text string (“85640ǂ3 University of Florida Digital Collections, Full view ǂu [UFDC URL] ǂ7 0”)  

--> Copy the full link from the new UFDC (with the vid part) to 856 after ǂu before ǂ7 

--> Action --> Replace Record 

Export to Alma

Exporting from OCLC to Alma Institution Zone and Network Zone 

Background information:  Data in Alma is managed in 3 Zones: 

  • Institution Zone: This holds our local bibliographic records.  

  • Network Zone: The shared environment (shared records) in our consortium.  

  • Community Zone: Repository of all electronic resources shared across the Alma community.    

 

INDIVIDUAL Records-- Instructions: 

To Export the OCLC record to the Alma Institution Zone: 

  • Select Tools > Options > Export  

  • Highlight the destination: (highlighted in blue below) 

 

  • Click Apply and click Close   

  • Select from the toolbar:  Action > Export  

  • You’ll receive a confirmation message with an MMS ID. Close the box.   

  • You’ll see another confirmation message that reads “Immediate Export Results”.  Close the box.    

To Export the OCLC record to the Alma Network Zone: 

  • Select Tools > Options > Export 

  • Highlight the destination: (highlighted in blue below) 

 

  • Click Apply > click Close   

  • Select from the toolbar:  Action > Export  

  • You’ll receive a confirmation message with an MMS ID. Close the box.   

  • You’ll see another confirmation message that reads “Immediate Export Results”.  Close the box. 

Link IZ and NZ

Linking IZ and NZ records in Alma 

After you have exported the new OCLC record with the updated 856 field, you need to link the IZ and NZ records: 

  1. Open the Institution Zone record in the Metadata Editor. 

  1. Click Record Actions, and then click Share with network. A confirmation dialog box appears asking if you want to view the matched item before saving. 

  1. Click Yes. The corresponding Network Zone record appears in a pane on the right. 

  1. Click Link. 

  1. Click the Release displayed records in list button.
